Sign in¶
You will hit a sign-in screen before any module. It asks two questions: which world (Demo or Actual) and who you are.
Pick the mode first¶

Demo sign-in¶
In Demo you typically continue as the sample user (no production password). You land in the modules that sample role can see — often Viewer: Dashboard, Patients, Reports, read-only.
That is enough to learn the inbox. It is not enough to practice Post payment. If you need to train posting, use a live training clinic in Actual with a dummy (fake) EOB, or ask an Owner to watch you in a safe environment.
Create an account first¶
Anyone can sign up with name, email, and password. That only creates a login. It does not open the clinic inbox.
A clinic Owner or Admin still has to add that same email under Clinic settings → Users. Until they do, sign-in lands on a Waiting for access page. After they add you, sign out and sign in again (or tap I've been added — check again).
You can also skip self-serve signup: the clinic can add your email first. Then you sign in (or set a password from the invite / forgot-password flow).
Actual sign-in¶
Two methods:
Email and password¶
- Select Actual.
- Enter the email you signed up with (or the email your clinic added).
- Enter your password.
- Submit.
Email code (one-time)¶
- Select Actual.
- Choose the code option if shown.
- Request a code. Check the inbox (and spam) for a message from Ordo.
- Type the digits. You are signed in without using a password that day.
Use a code when you forgot the password or you are on a computer where you would rather not store a password.
Forgot password¶
Use Forgot password on the sign-in screen. You will get an email to set a new one. If the email never arrives, ask an Owner whether your user is active and whether your address is spelled correctly in Clinic settings.
After you sign in¶
If a clinic admin has granted access, Ordo sends you to the first module you are allowed to see (often EOB Dashboard).
If nobody has added your email yet, you stay on Waiting for access and cannot open Dashboard, Patients, or Settings.
If your user exists but is inactive, you see Access is turned off. Ask an Owner to set you back to Active, then sign in again.
A different no-access page means you are in the clinic, but your role does not include that module. Ask an Owner if you need it.
Contact your office manager first, then Ordo support if the clinic itself cannot sign in.
Example — Monday at Bright Smile¶
- Mike opens Ordo, confirms the sidebar will be Actual (he chooses it on the login card).
- He signs in with email and password.
- He lands on EOB Dashboard and starts fetching yesterday’s extracted files.
- Alex, shadowing, stays in Demo on a second computer so he cannot click Post on live claims.
Signing out¶
Use the account / sign-out control in the app (profile area or equivalent). Sign out on shared front-desk computers. Do not leave Actual logged in overnight on a workstation patients can see.
